Patient Coordinator
Location: Mount Pleasant, SC (Charleston)

 is seeking a dynamic and warm self-starter to join our growing team as a Patient Coordinator. As a Patient Coordinator, you offer individualized assistance to patients from the moment they reach out or walk through the door, through every step of their visit, including helping prepare treatment rooms, supporting our NPs, RNs, and Estheticians with patient flow, and ensuring each patient feels cared for and on schedule from check-in to check-out.  

This role is equal parts clinical support, client experience, and front-of-house operations. The ideal candidate is calm under pressure, anticipates what a provider needs before they ask, and takes genuine pride in keeping the patient experience seamless – whether that means greeting someone at the door, prepping a room between services, or stepping in to assist a provider when the schedule gets tight. 

Job Structure: Part-time / Full-time 

Key Responsibilities 

  • Greet every client with a sincere, warm, and polished welcome, creating a calm, elevated first impression from the moment they arrive.  

  • Manage all scheduling, appointment confirmations, cancellations, and rebooking with precision, communicating proactively with providers about any schedule changes.  

  • Prepare and reset treatment rooms between patients, ensuring rooms are stocked, clean, and ready per provider and procedure requirements.  

  • Assist NPs, RNs, and Estheticians with patient flow throughout the day, escorting patients to treatment rooms, confirming intake forms and consents are complete, and flagging any patient needs or concerns before the provider begins.  

  • Tag in to assist providers directly as needed during procedures (handing supplies, prepping materials, light chairside support) when scheduling or staffing requires it.  

  • Maintain accurate patient records and intake documentation, ensuring forms, consents, and history are complete and accessible before each visit.  

  • Serve as the resident expert on AURĀE's full service menu, policies, and procedures, confidently answering patient questions and directing them to the right provider or service.  

  • Accurately process service, retail, and membership transactions; reconcile and report any overages or shortages to ownership.  

  • Maintain a visually polished, organized reception, lobby, and treatment room areas consistent with AURĀE's brand aesthetic.  

  • Own opening and closing procedures for the reception and treatment areas.  

  • Monitor and report retail, reception, and treatment room supply inventory; restock as needed.  

  • Support social media content capture, pop-up event logistics, and other brand activations as needed.  

  • Perform additional duties as assigned to support clinic operations and the overall patient experience. 

Required Qualifications 

  • Bachelor’s Degree in a relevant field and/or 2+ years in the medical industry 

  • Flexible availability, including weekends and some holidays. 

  • Genuine interest in Medical Aesthetics or integrative wellness space 

  • Highly organized with strong attention to detail and the ability to manage multiple priorities 

  • Excellent verbal and written communication skills; professional, warm, and on-brand in every interaction 

  • Professional appearance and demeanor consistent with a luxury wellness environment 

  • Strong judgement and discretion with patient information (HIPAA awareness a plus) 

  • Current BLS/CPR certification (or willingness to obtain prior to start) 

Preferred Qualifications 

  • Prior medical office, medical spa, or clinical support experience (MA, CNA, or similar background a plus).  

  • Familiarity with EMR/EHR platforms.  

  • Experience assisting with minor in-office procedures or chairside support. 

Physical Requirements 

  • Ability to lift, push, pull, and carry up to 

  • 15 lbs. regularly,  

  • 25 lbs. frequently, and  

  • Up to 50 lbs. occasionally

  • $25/hourly base pay based on experience
